Understanding Active Event Count
Your Fotify subscription lets you run multiple events at the same time. The active event count determines how many events can be running simultaneously under your plan. This guide explains exactly what counts, what doesn't, and how to manage your slots efficiently.
What Counts as an Active Event?
Only events that are currently in use count toward your limit. Here's the breakdown:
Counts Toward Your Limit
- Live Events — Events that are currently running and accepting photo and video uploads from guests
- Paused Events — Events temporarily paused but not yet finished. They still occupy a slot because they can be resumed at any time
Does NOT Count (Unlimited)
- Upcoming Events — Events you've created but haven't started yet. You can prepare as many as you need in advance
- Finished Events — Completed events. Photos and videos remain accessible according to your gallery access period

How Counting Works in Practice
Here's an example for an Event Starter plan (3 active events):

In this scenario, all 3 active slots are used. To start a new event, you would need to finish one of the Live or Paused events first, or upgrade to Event Professional.
RSVP Invitations Don't Affect Your Active Count
Note: Digital invitations and all RSVP features are available as long as your subscription is active. If your subscription expires or is cancelled (after the 7-day grace period), invitation links will stop working along with your events.
An important detail: digital invitations and RSVPs are independent from event activation. You can:
- Create an Upcoming event and set up the digital invitation immediately
- Send invitations and collect RSVPs weeks or months before the event — this does NOT start your event or use an active slot
- Activate the event on the day of the event to open photo and video uploads — only then does it count as active
This means you can have dozens of Upcoming events with active invitation links collecting RSVPs, while only using your active slots for events that are actually running.
Example workflow for a venue running 3 weddings per month:

Active Count with Teams
If you're using Team Subscriptions, the active event limit is shared across the entire team:
- All team members create events using the same subscription
- The active count adds up across all members
- Example: On Event Starter (3 active), if Member A has 2 active events and Member B has 1, all 3 slots are used
Team Owners and Admins can see the current active event count in Team > Subscription.
Managing Your Active Slots
Freeing Up a Slot
When you need to start a new event but have reached your limit:
- Go to your Fotify Dashboard
- Find a Live or Paused event that's completed
- Click Finish Event to mark it as done
- The slot is immediately freed up for a new event
When You're at the Limit
If you try to start an event that would exceed your active limit, you'll see a message showing:
- Your current active event count
- Your plan's maximum
- Which events are currently using your slots
Upgrading for More Slots
If you regularly need more active slots:
- Go to Subscriptions in your dashboard
- Click Upgrade Plan
- Switch from Event Starter (3) to Event Professional (6)
- The upgrade takes effect immediately
Tips for Efficient Event Management
- Finish events promptly — Once an event is over and you've collected all the photos you need, mark it as Finished to free up the slot
- Use Upcoming events for planning — Set up everything (invitations, branding, settings) while the event is still Upcoming. It doesn't use a slot until you start it
- Stagger your events — If events don't overlap, you can run many more events per month than your active limit suggests
- Pause strategically — Pausing still counts as active. If you're done collecting photos, finish the event instead
- Combine with one-time events — One-time purchased events don't count toward your subscription limit. Use them for occasional extra capacity
