How to Create and Manage Multiple Albums
Fotify lets you organize your event photos into multiple albums. This is useful for multi-day events, events with distinct sections (ceremony vs. reception), or when you want to separate professional photos from guest uploads.
The number of albums you can create depends on your event plan. You can check the maximum in your event type settings.
Creating a New Album
- Go to Photos in the sidebar and click Album to open your event album
- Click the Manage Albums button (gear icon) in the header
- In the Album Manager modal, type a name for your album in the text field
- Click Add (or press Enter) to create it
A URL-friendly slug is generated automatically from the name. Your new album will appear in the album filter at the top of your album page.
Filtering Photos by Album
Once you have multiple albums, a row of album filter pills appears at the top of your album page:
- All Photos โ Shows every photo across all albums (and photos not assigned to any album)
- Album name โ Click on a specific album to see only its photos
Each photo also displays a small badge in its top-left corner showing which album it belongs to.
Moving Photos Between Albums
You can move any photo to a different album:
- Hover over a photo in the grid and click the move button (folder icon), or open a photo in the lightbox and click the move button there
- A modal will appear showing all available albums
- The photo's current album is shown with a "Current" badge
- Click on the album you want to move the photo to, or select Main Album to remove it from any album
- The photo will be moved immediately
When you're viewing a specific album (not "All Photos"), moved photos will disappear from the current view since they now belong to a different album.
Sharing and Deleting Albums
Sharing an Album
Each album can have its own shareable link for public viewing:
- Click Manage Albums in the album header
- Click the share icon (arrow) next to the album you want to share
- Once sharing is enabled, a copy link button appears โ click it to copy the album's public URL
- To disable sharing, click the share icon again
Deleting an Album
- Click Manage Albums in the album header
- Click the delete (trash) icon next to the album
- A confirmation dialog will appear explaining that photos in this album will be moved back to the main album
- Click Delete to confirm
When you delete an album, all photos in that album are moved to the main album โ they are not deleted. This ensures you never lose photos by removing an album.
Private Subalbums
You can hide a subalbum from the public main gallery while still being able to share it through its own direct link. This is useful for surprise reveals, behind-the-scenes content, or photos you only want to share with a specific group.
Marking an Album as Private
- Click Manage Albums in the album header
- Find the album you want to hide and click the eye icon next to it
- The icon switches to a crossed-out eye and a Private badge appears next to the album name
- Click the icon again to make the album visible in the main gallery
How Privacy Works
When a subalbum is marked Private:
- Its photos do not appear in the main public album, the live feed, the random feed, or the popular feed
- The subalbum is not listed in the album switcher on the public album page
- The album itself can still be accessed directly through its own shareable link (if sharing is enabled), so you can share it privately with selected guests
Common Use Cases
- Surprise reveal โ Collect photos for a slideshow without spoiling it before the event
- Adult-only content โ Keep adult-themed party photos away from the family-friendly main album
- Internal-only photos โ Behind-the-scenes shots that only the host or organizer should see
- Photo-upload form responses โ Pair with a Photo Upload custom field on your RSVP invitation to route every guest's submission into a private subalbum that no one else can browse
Tips
- Toggling an album to private does not delete or move any photos โ it just hides them from the public main views
- You can flip a private album back to public at any time and the photos reappear immediately in the main gallery
- Private subalbums still count toward your plan's album limit
- If you also disable sharing for a private subalbum, only you (the organizer) can see those photos
Album-Specific QR Codes and Links
You can direct guests to upload to or view a specific album:
QR Code Modal
When generating a QR code from the Photos page, use the album dropdown in the QR modal to select which album the upload link should target. Guests who scan this QR code will have their photos automatically placed in that album.
Dynamic Links (Tools Page)
If you use Dynamic Links from the Tools page, you can also target a specific album. When editing a link, select an event first, then choose a target album from the album dropdown that appears. This works for both the Photo Upload Link and the Photo Album Link.
Frequently Asked Questions
Q: How many albums can I create? A: The number of albums depends on your event plan. You can see the maximum allowed when opening the Album Manager.
Q: What happens to photos when I delete an album? A: All photos in the deleted album are automatically moved to the main album. No photos are lost.
Q: Can guests choose which album to upload to? A: Guests upload to whichever album is configured in the QR code or upload link they use. You control the album targeting from the QR Code modal or the Tools page.
Q: Can I move multiple photos at once? A: Currently, photos are moved one at a time. Select the move button on each photo you want to relocate.
Q: Do albums work with the public album? A: Yes. If an album has sharing enabled, guests can view that specific album through its unique shareable link. You can enable sharing per album from the Album Manager.
Q: Are albums available on all plans? A: The number of albums available depends on your event plan. Some plans may only include a single album. Check your plan details for specifics.
Q: What does the "Private" toggle do on a subalbum? A: A private subalbum is hidden from the public main gallery, the live feed, the random feed, and the album switcher. Its photos still exist and you can still share the album through its own direct shareable link โ it just won't show up in any of the public main views.
Q: Can I still upload to a private subalbum? A: Yes. Privacy only affects whether the photos appear in the public main views. Uploads (via QR codes, Photo Upload form fields on the RSVP, or direct shareable links) work exactly the same way.
Q: Can I make a private subalbum public again later? A: Yes. Click the eye icon next to the album in the Album Manager to toggle privacy on or off at any time. Photos reappear in the main gallery immediately when you turn privacy off.
